This policy explains how The Owners Network, ABN 82 867 406 893, handles personal information across our website, applications and services. We aim to follow the Australian Privacy Principles as a practical standard, whether or not every provision legally applies to us at a particular time.
1. Information we collect
Depending on the services used, we may collect:
- names, business details, job roles, email addresses, phone numbers and account credentials;
- subscription, invoice and payment status information, while full card details are handled by our payment provider;
- asset, maintenance, repair, parts, meter reading, estimating and operational records;
- photos, attachments, messages, support requests, feedback and session information;
- device, browser, IP address, login, diagnostic, security and usage information; and
- information supplied during online or in-person sessions, events and other interactions where relevant.
Please avoid uploading sensitive information or images of people unless genuinely required and authorised for your business purpose.
2. How we collect information
We collect information directly from you, through use of our website and apps, from a business administrator or manager who creates or manages your account, and from service providers involved in delivering the platform. We may also use cookies and similar technologies for authentication, preferences, security, performance and analytics.
3. Why we use it
We use personal information where reasonably necessary to:
- create accounts and deliver our platform, subscriptions, digital tools, content, sessions and related services;
- route maintenance requests, alerts and status updates to authorised users;
- process subscriptions, prevent trial abuse and maintain billing records;
- provide support, communicate service changes and respond to requests;
- secure, troubleshoot, measure and improve the platform;
- comply with law, resolve disputes and enforce our agreements; and
- send relevant product news or offers where permitted, with an option to unsubscribe.
We may use aggregated or de-identified information for analytics, benchmarking and product improvement where it no longer reasonably identifies a person or business.
4. Business administrators and workplace users
A subscribing business controls who can access its workspace and what records they can see. Its administrators may add, update, assign or remove users and assets. The subscribing business is responsible for having an appropriate basis to provide employee and contractor information and for giving any workplace notices required by law.
If your account was created by an employer or other organisation, requests concerning operational records may need to be handled with that organisation because it controls the workspace.
5. When we disclose information
We may disclose information only as reasonably required to:
- authorised users within the subscribing business;
- cloud hosting, database, storage, email, notification, analytics, support and security providers;
- payment providers and related suppliers for payment and subscription administration;
- professional advisers, insurers, auditors or a buyer involved in a genuine business transaction;
- regulators, courts, law enforcement or other parties where required or authorised by law; and
- another party with your consent or at your direction.
We do not sell personal information.
6. Overseas processing
Some technology providers may store or process information outside Australia, including in the United States and other countries where they or their subcontractors operate. Privacy and data protection laws in those locations may differ from Australian law. We select established providers and take reasonable steps appropriate to the service and the information involved.
7. Storage, security and retention
We use reasonable technical and organisational safeguards designed to protect information, including access controls, authenticated accounts and reputable service providers. No online system is completely secure, so users must also protect passwords, devices and account access.
We retain information for as long as reasonably needed to provide services, meet legal and accounting obligations, resolve disputes, maintain security and enforce agreements. We then delete or de-identify it where reasonably practicable. Residual copies may remain temporarily in secure backups.
8. Access and correction
You may request access to personal information we hold about you or ask us to correct inaccurate information. Some account details can be updated through the service. For other requests, email hello@theownersnetwork.com.au. We may need to verify your identity and may lawfully refuse or limit a request in some circumstances, in which case we will explain why where required.
9. Privacy questions and complaints
Send privacy questions or complaints to hello@theownersnetwork.com.au. Include enough detail for us to investigate. We will acknowledge the matter and aim to provide a substantive response within 30 days. If the Privacy Act applies and you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner at oaic.gov.au.
10. Changes to this policy
We may update this policy as our products, providers or legal obligations change. The current version will remain available on our website with its effective date. We will provide additional notice if a change materially affects how we handle personal information.
